Reporting to the Manager of Legislative Services/Clerk, the Records Coordinator is responsible for
administering and maintaining the municipal records and information management system
according to The Ontario Municipal Records Management Systems (TOMRMS), the Municipality’s
Retention By-law and established procedures. Other duties include the maintenance of the central
filing system, scanning documents, retention and disposal of records, procedure development, and
education and training.


• Must have a diploma in public administration, business administration or related field.
• Must have a minimum of two-years’ previous experience in a municipal environment.
• Must have the ability to interpret legislation including MFIPPA.
• Knowledge of The Ontario Municipal Records Management System (TOMRMS) is required.
• Must have excellent organizational, analytical, and time management capabilities in order to plan
and meet project timelines.
• Must have excellent negotiation, facilitation and interpersonal skills in order to achieve
collaboration, support and cooperation.
• Must have experience demonstrating effective written and verbal communication skills as well as
accuracy and efficiency.
• Thorough working knowledge of various software systems including Records
Management/Document Management Software systems (Laserfiche), Word, Excel, PowerPoint
and other database applications is required.
• Experience working in the area of municipal records and information management is preferred.
• Completion of the Municipal Administration Program or receipt of the Certified Municipal Officer
designation from the Association of Municipal Clerks and Treasurers of Ontario is an asset.
