Position Summary:
The Professional Education Programs Office Coordinator is responsible for coordinating office activities, researching special projects, collecting and analyzing data, preparing statistical summary reports, and developing, revising, and providing administrative analysis to help monitor and develop budgets and financial activities. This position is governed by state and federal laws, as well as institutional policy.
Duties & Responsibilities:
Enter and maintain budgets for the office in a timely manner, by creating reports to verify budget information, and monitoring expenditures related to the budget
Organize, process, and maintain database records of teacher education candidates on four campuses, in both face-to-face and the online Initial Licensure programs seeking program admission, field experience, and licensure
Collect, organize and review 5 Checkpoints paperwork and data for Initial Programs in newly implemented Residency Programs: Admissions, Pre-Teacher, Intent, Validations and Graduation/Licensure
Assist with student permanent records, scholarships, and licensure
Coordinate, organize and oversee the disbursement of clinical supervisor pay for classroom teachers who supervise teacher education candidates across all states
Arrange, coordinate travel and process travel reimbursement for university supervisors at four campuses
Makes purchases, such as office supplies, on PCard and maintains monthly reconciliation and budgets
Creates requisitions for large purchases on ongoing service accounts (such as GoReact)
Assist with calculating faculty workload for supervision of teacher interns
Gathers material and research findings on assigned projects
Create and customize surveys in Qualtrics to facilitate Admission to Teacher Education and Teacher Intern reports
Review, summarize, and complete all final copies of the Educator Preparation Program Report, Workload Report, Exit Evaluation Report, Institutional Summary Report, Statistical Summary Report and Teacher Intern Handbooks
Provide administrative assistance, such as writing and editing emails, drafting memos, creating invoices, and preparing communications on the Director's behalf
Plan, prioritize, and schedule staff appointments, meetings with school partners, and special projects for the Professional Education Program (PEP) office
Supervise student employees (Federal Work-Study) including scheduling, daily tasks, and time sheet approval
Receive, sort and distribute the mail
Maintains the Director's calendar and assists Director with meetings, reports, travel, etc.

Knowledge/Skills/Abilities:
Excellent Customer Service Skills. Knowledge of basic accounting principles and database management. Knowledge of planning, research, and analysis techniques and procedures. Knowledge of department operations, policies, and procedures. Knowledge of computers and software applications. Knowledge of applicable laws and regulations. Ability to analyze financial records and prepare reports. Ability to comprehend and assimilate technical and business related documents. Ability to research, prepare, and present comprehensive written and oral reports. Ability to develop, recommend, interpret, and apply policies and procedures. Ability to plan and execute systems and strategic analysis related to program goals and objectives.

Monday - Friday 8:00 a.m. - 5:00 p.m. Additional hours as requested and/or needed Regular and reliable attendance

Minimum Qualifications:
The formal education equivalent of an earned Bachelor's Degree in general business, finance, education, or a related field.
Other job related education and/or experience may be substituted for all or part of these basic requirements, except for certification or licensure requirements, upon approval of the qualifications review committee.
