Position: Events Intern (May-August 2023)

Reports to: Manager, Events

ESSENTIAL DUTIES AND RESPONSIBILITIES

Renewal & Remembrance Event Responsibilities (July 2023)

  • Attend check in meetings with R&R Chair and Co-Chairs.
  • Review hotel contract to ensure we are utilizing all concessions.
  • Draft event specifications for the hotel (room set, AV and F&B orders).
  • Draft website information for the event.
  • Conduct housing and registration cross checks if necessary.
  • Review hotel banquet event orders.
  • Draft pre and post event email communications to attendees.
  • Draft dinner program.
  • Create a list of necessary signage.
  • Order & coordinate delivery of wreaths for wreath laying(s).
  • Order & coordinate Porta-Johns & hand washing stations, as necessary.
  • Order & coordinate transportation for Monday.
  • Coordinate with chaplain & color guard at ANC.
  • Order & coordinate AV for opening ceremonies on Monday, as necessary.
  • Order workhorse award for Sunday reception.
  • Come up with a plan for sustainability at each site – minimize trash and recycle.
  • Order & coordinate lunch deliveries on Monday.
  • Coordinate children’s programs at both sites.
  • Order & coordinate snacks for Children’s Program participants and volunteers.
  • Print dinner badges.
  • Coordinate and pack for the shipment to the event site.
  • Onsite execution – Travel to Arlington, VA/DC Sunday and Monday.
  • Review all bills and work with AVP, Events and Manager, Events to get them paid.
  • Review hotel master account, reconcile and work with AVP, Events on payment.
  • Participate in the meeting debrief with NALP staff and Committee Chair and Co-Chairs.
  • Send hotel confirmation emails out to NALP Staff.
  • Pull dietary restrictions list and reach out to “Please Contact” registrants.
  • Attendee registration assistance.
  • Take direction from NALP AVP, Events and Manager, Events on any responsibilities not detailed above.
  • Other duties as assigned.

Other NALP Event Responsibilities (Field Trip - June 2023; ELEVATE - September 2023)

  • Print attendee badges.
  • Coordinate and pack for the shipment to the event site.
  • Schedule Dine-Arounds.
  • Draft pre and post event email communications to attendees.
  • Book Staff Dinner for Annual Meeting.
  • Conduct Ribbon Inventory.
  • Send hotel confirmation emails out to NALP Staff.
  • Pull dietary restrictions list and reach out to “Please Contact” registrants.
  • NALP Event App updates as assigned.
  • Assisting in registering Exhibitors as needed for ELEVATE.
  • VIP attendee registration assistance.
  • Take direction from NALP AVP, Events and Manager, Events on any responsibilities not detailed above.
  • Other duties as assigned.

Event Administrative Responsibilities

  • Answer emails from the events email account.
  • Other duties as assigned.


Requirements

  • Work in a fast-paced environment in an organized and professional manner.

  • Attention to detail
  • MS Office Suite required
  • Database experience preferred
