The Donor Stewardship and Engagement Coordinator reports to the Director of Strategic Initiatives, Communications, and Stewardship and works closely with development and advancement services staff across the organization.
Essential Duties and Responsibilities
Donor Stewardship & Reporting (40%)
- Support stewardship and donor engagement efforts for members of the Fountain Circle (donors of $25,000+), members of Patrons of the Courtyard, and members of the1848 Society including mailings, emails, and thoughtful donor touchpoints.
- Coordinate weekly acknowledgement letters for major donors to ensure timely, accurate, and personalized recognition.
- Assist in the preparation of donor impact reports for restricted gifts, named funds, endowed funds, campaign initiatives, and major donors.
- Track stewardship deliverables, deadlines, and reporting requirements across donor portfolios.
- Coordinate with Library departments to gather program updates and patron stories that support donor stewardship and impact reporting.
- Maintain stewardship calendars, donor recognition systems, and donor engagement records.
- Help maintain stewardship standards and processes that support a high-quality donor experience.
Cultivation & Stewardship Events (35%)
- Coordinate the logistics and execution of events for donor cultivation and Patrons of the Courtyard and 1848 Society stewardship.
- Support the execution of invitations, registration, vendor coordination, timelines, briefing materials, on-site event support, and follow-up communications.
- Assist with engagement tours and other experiences for prospects and volunteer groups.
- Help ensure a welcoming, organized, and high-quality donor experience across all engagement activities.
Development Coordination & Donor Engagement Support (25%)
- Maintain accurate donor engagement records and stewardship tracking within the donor database.
- Prepare donor briefing materials, lists, background information, and meeting support materials as needed.
- Coordinate special stewardship projects and donor engagement initiatives as assigned.
- Assist with tracking event expenses, invoices, and budgets.
- Provide administrative support for donor engagement and stewardship activities.
- Participate in BPLF and BPL events, meetings, and programs as appropriate.
- Other duties and responsibilities as assigned.
Requirements
Qualifications, Skills, and Knowledge Required
- Bachelor’s degree or 1–3 years of relevant experience in development, donor relations, stewardship, events, nonprofit administration, or related fields
- Exceptional organizational and project management skills with strong attention to detail
- Excellent written and verbal communication skills
- Demonstrated ability to manage multiple projects and deadlines in a fast-paced environment
- Strong interpersonal skills and ability to interact professionally with donors, volunteers, vendors, and colleagues
- Experience supporting events, donor engagement activities, stewardship initiatives, or leadership giving programs preferred
- Familiarity with donor databases and development systems preferred
- Proficiency in Microsoft Office and digital communication tools
- Ability to work both independently and collaboratively
- Appreciation for the mission and civic importance of public libraries
Salary Range:
$48,000 - $51,000
