Summary:
The Project Manager leads the event team’s data management and technology interface to improve the alignment of audiences with strategic events. Manages the implementation and execution of multiple registration software resources for University events. Analyzes and manipulates complex data to achieve improved donor engagement, leads audience segmentation, and structures event reporting. Responsible for enhancing the development of technology resources for the event team. Lead editor and proofreader for all external event written material and website.

Job Description

 This Job Is For You If You Are Able To….

  • Analyze and manipulate key data sources to create strategic audience pools.
  • Create, produces and maintain the registration tools for event registrations and reporting.
  • Manage the invitation and response processes to ensure accuracy and timely recording. Ensure internal reporting protocol is consistent, resulting in quality assessment reports.
  • Manage data infrastructure and the communication plan for multiple marketing messages throughout the event lifespan. Build BBIS data sets and contributes to multi-tiered invitations marketing to improve audience participation. Create timelines and holds contributors to deadlines. Assess the response rates, no-show rates and post-event survey data to influence best-practices. Responsible for accurate use of university standards on all event materials.
  • Manage the secure registration payment portal.
  • Initiate and manage the registration process for Commencement. Partner with the Registrar’s office to track confidential student access to Commencement registration. Coordinate with Development staff to create and maintain accurate data sources and useful reporting tools for all events.
  • Discover new technology tools to further enhance the customer-focused experience for internal and external audiences. Collaborate with partners to maintain efficiency and continuous improvements for existing tools.
  • Serve as the liaison between University Events and the digital and the technology teams across campus. Maintain University Event’s WordPress sites and event website.
  • Build protocols for data integration with registration systems (CVENT) and Blackbaud. Maintain consistent customer experiences with event registrations across Advancement departments.
  • Evaluate and identify process improvement opportunities and recommend future needs related to event data and event technologies integrations including ongoing analysis, discovery and promotion of best practices.
  • Work with internal constituencies (i.e. University Administrators, staff, and students) and external constituencies (Trustees, Donors, Parents, Dignitaries, and the general public).
  • Plan and execute event registrations as needed.
  • Assist team in generating internal facilities work orders, transportation, parking and security requests. Provide onsite event support and contribute to event planning, manages supplies and event assets.

Requirements

What Skills Do You Need?

  • Bachelor's degree plus two to five years of experience, or an equivalent combination of education and experience.
  • Knowledge of University practices, policies, and procedures, or ability to acquire knowledge in a short period of time.
  • Effective verbal and written communication skills.
  • Skill in the analysis and the re-engineering of systems, processes, and procedures.
  • Ability to synthesize the content, structure, and format of multiple data sources.
  • Strong initiative to coordinate multiple tasks in a high-pressure environment.
  • Strong interpersonal skills and the ability to effectively communicate with a wide range of individuals and constituencies in a diverse community.
  • Strong computer skills to include Microsoft applications such as CVENT, Word, Excel, Databases, Google tools or other relevant software.
  • Strong critical thinking skills with attention to details.
  • Ability to make administrative and procedural decisions/judgments on sensitive, confidential issues.
  • Respect for the dignity and abilities of all people.
